The role
We are looking for a highly organized and proactive Personal Executive & Administrative Assistant to join our fast-paced team. This role requires a high level of discretion, attention to detail, and the ability to multitask effectively. The ideal candidate will be comfortable working independently and will thrive in a dynamic environment.
What you'll be doing
Personal Assistant to the CEO:
- Act as the primary point of contact and coordinator for the CEO.
- Manage the CEO’s daily schedule, prioritize appointments, and ensure optimal time management.
- Coordinate executive communications, including responding to emails and drafting correspondence on behalf of the CEO.
- Organize board meetings, prepare meeting agendas, and take minutes as required.
- Accompany the CEO to high-level meetings or events when necessary, and provide logistical and administrative support.
- Maintain confidentiality and handle sensitive information with the utmost discretion.
- Anticipate the CEO’s needs and proactively manage tasks to optimize efficiency.
Executive & Office Administrative Support:
- Provide high-level administrative support across departments.
- Manage calendars, schedule meetings, and organize travel arrangements.
- Handle internal and external correspondence and meeting documentation.
- Assist in preparing reports, presentations, and other business materials.
- Support office operations including ordering supplies, coordinating events, and liaising with vendors.
Requirements
- Minimum 3 years of experience in an executive assistant or PA role, preferably supporting C-level leadership.
- Exceptional written and verbal communication skills.
- Strong organizational, prioritization, and time management abilities.
- Proficient in Microsoft Office Suite, Google Workspace, and calendar management tools.
- Highly discreet, trustworthy, and professional.
- Ability to work in a fast-moving environment with shifting priorities.
- Ability to coordinate various meetings and events in a timely manner.
Please be advised this is a full-time position, with 5 days a week in office.
